Why an administrative resume gets six seconds

Administrative postings attract very high application volume, so the screen is fast and lexical. Two things decide it: whether the software the posting names appears on your page, and whether a reviewer can tell at a glance how senior the work was.

Supporting three managers is not the same job as supporting a C-suite of eight with board scheduling and travel across time zones. The resume has to say which one you did, because nobody will assume the more impressive reading.

What should an executive assistant resume prove?

Discretion, judgement and scale. Name who you supported by level rather than by name, the size of the calendar and travel load, the budget or expense volume you handled, the vendors you managed, and whether you sat with confidential material such as board papers, compensation cycles or legal matters.

That last one is the genuine seniority signal and it is almost always missing. Where you have run a project rather than an inbox, give it bullets: office moves, event delivery, systems rollouts, vendor consolidation.

Naming software, and the bullets that carry it

List platforms by name rather than by category: the office suite, the expense system, the travel booking tool, the scheduling and collaboration tools, the CRM if you touched it. Category words match nothing a recruiter typed.

Be specific about scale and stop describing duties everyone shares. Almost every administrative resume in a stack says it managed calendars, booked travel, answered phones and maintained filing systems, which means none of those lines separate you from anybody. What separates you is number and level: how many people you supported and how senior they were, how much budget passed through you, how large an event or move you ran, how many time zones you covered. Add the named software the posting asks for, since this is a field where recruiters genuinely filter on it. Then take one thing you improved, however small, and give it a before and an after. A single measured improvement does more work than a full page of accurately described routine. Keep the file name professional and the format standard, because at this volume a resume named final-v3 is a small unforced error a reviewer will remember.

It depends entirely on where you are applying. Across much of continental Europe, parts of Asia, Latin America and the Middle East a photo is conventional and its absence is noticed. In the United States, Canada, the United Kingdom, Ireland and Australia, hiring teams are commonly advised to set aside resumes carrying photos because of discrimination exposure, so including one can quietly cost you the application. When you are unsure, leave it off, since no employer in the second group penalises a resume for lacking one.
